Business Templates

Business Templates let owners and admins add templates like intake forms, inspection sheets, checklists, or branded layouts that everyone on the team can start new notes from. Instead of starting from a blank page or passing files around by hand, your whole team works from the same format.

This feature is for Notability for Business teams.

Availability

  • Platforms: You can add and use Business Templates on iPad and iPhone. Notes created from a Business Template will display on the web app, but you can't add or start notes from Business Templates there. Business Templates aren't available on Mac or Android.

  • Subscription: Notability for Business.

  • Roles: Owners and admins can add, rename, and delete Business Templates. Everyone on the team, including owners and admins, can start new notes from them.

How Business Templates work

An owner or admin adds a template once, and it appears for your whole team in the Templates menu under Business Templates. Anyone on the team can then start a new note from it.

A few things to know:

  • Business Templates are applied when you create a new note. You pick the template as you start the note.

  • The content of a Business Template can't be edited after it's added. Owners and admins can rename or delete it. To change the content, delete the template and add an updated file.

  • Business Templates belong to your organization, not to the person who added them. If that person leaves the team, the template stays and ownership moves to the organization's owner.

Add a Business Template (owners and admins)

You can add a Business Template by importing a file.

  1. Open the Templates menu. You can access the Templates menu from the library when creating a note, within note options, or within the Settings > General tab if you’re an owner.

  2. Go to the Business Templates section.

  3. Tap the + cell in the Business Templates section.

  4. Choose the file you want to import.

  1. Name the template and save it. It is shared with your business automatically and becomes available to everyone in your organization.

Delete a Business Template (owners and admins)

The content of a Business Template can't be edited after it's added. To remove one, delete it.

  1. Open the Templates menu and go to the Business Templates section.

  2. Long-press the template you want to remove.

  3. Choose to delete it.

Deleting a Business Template is permanent, and it removes the template for everyone on your team.

Start a note from a Business Template

Anyone in your organization can start a new note from a Business Template.

  1. Start a new note.

  2. Open the Templates menu.

  3. Go to the Business Templates section.

  4. Select a template to preview it full-page.

  5. Start your note from the template. It's applied to your new note.

Business Templates apply to new notes only. You can't swap a Business Template onto a note you've already created.

Troubleshooting

I don't see a Business Templates section.

  • Make sure you're signed in to your Notability for Business account on iPad or iPhone.

  • Your organization needs at least one template added by an owner or admin. If none have been added yet, the section may not appear.

  • Business Templates are not available on the Web app or Android. Use your iPad or iPhone.

I can't add, rename, or delete templates.

  • Only owners and admins can manage Business Templates. Members can start notes from templates but can't add, rename, or delete them. Check your role with your organization's owner.

I can't set a Business Template as my default.

  • Business Templates can't be set as a default template. Choose the template each time you start a new note.

A template I favorited isn't showing on my other device.

  • Favorites for Business Templates are saved locally on each device and don't sync across devices in this release. Favorite the template again on the other device.

I can't change the template on a note I already started.

  • Business Templates apply to new notes only. Start a new note to use a different Business Template.

I want to edit a template's content.

  • The content of a Business Template can't be edited after it's added. Ask an owner or admin to delete the template and add an updated file.
