How to Create a Notability for Business Account
- Go to notability.com/business.
- Click "Get Started for Free" to sign up right away, or click "Talk to a Team Member" if you'd like to connect with our team before getting started.
- Sign in to your existing Notability account or create a new one.
- Select the Business Plan that's right for you.
- Set up your organization.
- Complete your purchase through our secure payment portal.
- You're all set — welcome to Notability for Business!
How to Manage Users in your Organization
- In the Notability app, click the Settings icon (gear icon), then select the Users tab.
- To invite someone, enter their email address and assign them a role. Note that Admins and Owners can invite new users, while Members cannot.
Owners can also remove users from the organization and update user roles at any time.
Note: Only users who have accepted their invitation to the organization will be able to create and view shared team libraries.
Library and Note Sharing Permissions
When sharing a library or note for collaboration, you can grant either View or Edit access:
- Viewers can browse the library's contents but cannot make any edits to notes.
- Editors can make changes to notes within the shared library.
How Permissions Work
Notes and Folders will inherit permissions from the Library in which they live. All Notes and Organizers within that Library will have the same permissions, but notes can be granted extra permissions by inviting users to them. Notes can also be shared by link.
A note owner has full control to view, edit, share, or delete their note and can manage permissions via the "Share" button.
Conflicting permissions
It's possible for people to have different permissions on notes, These can be explicit permissions or inherited permissions. If there are conflicting permissions, Notability will honor the more permissive option.
In some circumstances, you can override someone's inherited permissions by giving them explicit permissions on a note. This only works for situations where the explicit permission gives them more access.
For example: Alison has view permissions on the Product team Shared Library. Her manager, Kelsey, invites her to a specific note within the Product team Shared Library with edit access. With explicit edit access to that note, Alison is able to make edits to that note. She only has view access to other resources in that Product team Shared Library.
Managing your Billing and Subscription
- In the Notability app, click the Settings icon (gear icon), then select the Billing tab.
- From here, you can update your payment method or change your subscription plan.

How to downgrade from business to individual plan
From the Web:
- Go to notability.com/app.
- Sign into your Notability for Business account.
- Click the Settings icon (gear icon), then select the Billing tab.
- Click on Change Subscription or Cancel Subscription.
From the App:
- Sign into your Notability for Business account.
- Click the Settings icon (gear icon), then select the Manage Subscription tab.
- Click on Change Subscription or Cancel Subscription.
Collaborating in a Shared Library
When you invite someone to a shared library, they'll be able to view all notes within it. As the library owner, you control each user's level of access — either View or Edit — so you can manage who can make changes and who can only browse.
Any user with access to the shared library can collaborate on notes in real-time, making it easy for your team to work together seamlessly.
Collaborator Limits
A note supports up to 100 collaborators, with a maximum of 20 editors active at one time. Note owners are always granted edit access, regardless of the current editor count.
Shared Library Deletion & Data Retention Policy
When you create or join an organization, your data is associated with that organization. If you are removed from the organization, you will lose access to that data. We recommend exporting any personal notes regularly to keep a safe backup.
For Owners and Admins: If a user is removed from your organization, their private library will be deleted. Any notes stored in a shared library will remain accessible to the organization owner.
Note: We recommend that all users export any important personal notes before leaving or being removed from an organization.
