Organizing and Managing Notes (Mac)

The Library can be used to sort notes into logical groups using subjects. Subjects can be grouped using dividers.

Renaming Notes

  1. In your list of notes, control-click or two-finger-tap a note's name.
  2. Click "Rename".
  3. While a note is open, you can also click its name at the top of Notability's window.

Deleting Notes

  1. In your list of notes, click a note's name to select the note.
  2. Press the delete key.
  3. Alternatively, control-click or two-finger tap a note's name. Then click "Delete".

Searching Notes

You can search for a note by title or content.

  1. Click .
  2. Type in a search term.
  3. Press the return key.

Your search term will be highlighted in yellow. The search results will be organized by Content Results, Title Result, and This Note (the note that is currently open).

Making a Subject or Divider

  1. Click "File > New Subject/divider" from the menu at the top of your Mac's screen.
    • Alternatively, click at the bottom of your subject list.
  2. Type in a name for the subject or divider.
  3. Press the return key or click "Create Subject/Divider".

New subjects and dividers will appear at the bottom of your subject list.

Moving a Subject or Divider

  • Click and drag a subject or divider to a new location.
  • While dragging a subject, mouse over a closed divider to open the divider.
  • While dragging a divider, an open divider will leave its subjects behind. A closed divider will move its subjects with it.

Renaming a Subject or Divider

  1. Control-click or two-finger tap a subject or divider.
  2. Click "Rename".

Deleting a Subject or Divider

Deleting a subject will delete all of the notes in the subject.

Deleting a divider will not delete the subjects in it. The subjects will move to the next divider in your list.

  1. Control-click or two-finger tap a subject or divider.
  2. Click "Delete".

Moving Notes into Subjects

  1. Click and hold on a note thumbnail.
  2. Drag the thumbnail to a subject.

You can move multiple notes at once.

  • Hold the command key while clicking on note thumbnails to select individual notes to move as a group.
  • Hold the shift key to select a series of notes to move as a group.
  • Once you select notes, drag and drop one note's thumbnail into a new subject.

Sorting Notes in a Subject

  1. Click "View > Sort Notes" from the menu at the top of your Mac's screen.
  2. Click "Name", "Modified Date", or "Created Date".
